AI agent or chatbot: which one does your business need?
Both run on the same kind of language model, and both can hold a conversation. The difference is what happens after the answer. This guide puts them side by side, shows when a chatbot is enough and when you need an agent, and gives concrete examples.
A chatbot answers questions in a conversation; an AI agent also takes actions in your systems, such as creating a booking or preparing an invoice entry, through a fixed set of tools. If most of the work is answering the same questions, a chatbot is enough: from 900 euros, and a simple website chatbot goes live in 1 to 2 weeks. If someone retypes what customers send into another system, you need an agent: from 1,500 euros for one process, live in 2 to 4 weeks.
The difference in one sentence
A chatbot answers; an AI agent answers and then acts in your systems through a fixed set of tools.
The line is not sharp. A chatbot that fills in a booking form is already taking one small action. An agent goes further: it also works on requests that never arrive as a chat, such as an inbox or a pile of documents, chooses between several tools, and carries a task across several systems.
That extra reach is what makes an agent useful, and also what makes it riskier. So it comes with safeguards a chatbot does not need.
Side by side
The same six questions, answered for both:
| Compared on | Chatbot | AI agent |
|---|---|---|
| What it does | Answers questions from your content and collects details | Answers, then carries out the next step: creates, updates, files or books |
| Where it acts | In the conversation: your site, Instagram, WhatsApp, Viber | In your systems: bookings, accounting, customer records, email |
| Main risk | A wrong answer | A wrong action, such as a wrong booking or a wrong amount |
| Safeguards | Answers only from your content and hands over to a person when unsure | A fixed allow-list of tools, a person approving money and anything irreversible, an audit log and a fallback |
| Typical cost at Pluton Studio | From 900 euros | From 1,500 euros for one process |
| Time to launch | 1 to 2 weeks for a simple website chatbot, 3 to 6 weeks for several channels | 2 to 4 weeks for a first agent on one process |
When a chatbot is enough
How we build chatbots is on AI chatbot development, and what they cost is in how much a chatbot costs. A chatbot is the simpler and cheaper choice when:
- Most messages are the same questions: hours, prices, location, availability.
- A conversation ends with a message to your team, and a person takes it from there.
- You do not need anything written into your systems automatically.
- Volume is modest and you first want to see what customers actually ask.
When you need an agent
You need an agent when the answer is only half the work. How we build them, with the safeguards in each, is on AI agent development. The signs:
- After the conversation, someone retypes what the customer sent into another system.
- Requests arrive by email or WhatsApp and have to become jobs, orders or bookings.
- Documents such as invoices or delivery notes have to be read, checked and passed on.
- Staff need answers from your own records, with the source shown.
- Someone plans the next day's work by hand from a list of open jobs.
Examples
The same business often needs both, for different work:
| Business | A chatbot is enough for | An agent is needed for |
|---|---|---|
| Hotel | Questions about rooms, prices, parking and check-in times | Group requests from travel agencies by email, checked against availability and turned into a draft offer that a person sends |
| Car rental with diaspora customers | Questions about cars, prices and the documents needed | WhatsApp requests turned into draft bookings in the booking system, with the deposit confirmed by a person |
| Wholesale or distribution | Questions about stock and delivery days | Supplier invoices read, matched to orders and prepared for the accountant |
| Service or installation company | Telling a customer when the technician is due, from the job list | Turning messages into jobs and proposing tomorrow's plan to the dispatcher |
Starting with one and moving to the other
A sensible order is chatbot first, agent second. The chatbot shows which requests keep turning into manual work, and those are the ones worth an agent.
What the chatbot already knows, your content and the test messages, carries over; the agent adds tools, approval steps and a log. The two can also run side by side: the chatbot talks to customers, and the agent turns what they asked for into work in your systems. When the work always follows the same fixed steps, process automation may be all you need. What an agent costs is in the AI agent cost guide.
Frequently asked questions
Is an AI agent just a smarter chatbot?
No. A chatbot's job ends with the answer. An agent's job is the work that comes after it: writing into your systems through tools, with a person approving what matters.
Which is safer, a chatbot or an AI agent?
A chatbot carries less risk, because the worst case is a wrong answer. An agent can take a wrong action, which is why ours run on a fixed allow-list of tools, wait for a person on money and anything irreversible, and log every action.
What does each cost?
At Pluton Studio a chatbot starts at 900 euros and an AI agent on one process at 1,500 euros. Monthly model costs come on top of both and depend on volume.
How long does each take?
A simple website chatbot goes live in 1 to 2 weeks, a multichannel one in 3 to 6 weeks. A first AI agent on one process takes 2 to 4 weeks.
Can a chatbot take bookings, or do I need an agent for that?
A chatbot connected to your booking system can take a booking inside the conversation. You need an agent when requests also arrive by email, as documents or from partners, or when one booking touches several systems, such as availability, payment and invoicing.
Do I need both?
Sometimes. A chatbot answers customers on your site and channels, and an agent turns the requests that need action into work in your systems.
